Working in tandem with the Rental/Group Sales Manager(s), the Hotel Group Specialist is responsible for coordinating all aspects of definite group service milestones for their assigned properties. Serving as the key contact and liaison with clients, Hilton Worldwide Sales, on- property Ops team and internal HGV departments. The Specialist ensures exceptional customer service, professional written and verbal communication, highly detailed follow-through, and ensures accuracy of all communications & responsibilities are complete upon required deadlines to maximize successful group experiences.
- Responsible for assisting with group sales functions, as assigned, with a heavy focus on group billing tasks as it relates to advance deposits, billing and post stay reconciling.
- Responsible for all aspects of coordinating definite groups, including but not limited to
- Facilitating group rooming lists, confirmations, VIP guest arrangements
- Create reservation links when requested
- Work with Business Management to ensure deposits are being charged as outlined in contract terms
- Ensure guarantees and billing arrangement are established
- Facilitating tax exemptions, where applicable
- Maintain accurate records in sales systems
- Monitor group pick up and reports both internally and with group point of contact preparing & distributing pertinent details to property operation team(s)
- Work with Revenue & Inventory Departments on special requests and necessary inventory adjustments
- Run various sales reports
- Process group commissions & rebates
- Ongoing, customized communications with customers, maintaining a knowledge of the customer and group details throughout the coordinating process
- Assist in building and maintaining business relationships with guests, clients, & business partners
- This position requires professional phone etiquette, excellent guest service and communication skills (both written and verbal), attention to detail & a positive attitude
- Must be able to communicate effectively with others, analyze and resolve problems, maintain effective working relationships, and interact successfully with internal and external customers.
- Ensure all channels of internal communication/documentation, with various departments including Reservations, Revenue Management, Inventory Management, Business Operations and Resort Management/Operations are accurate and complete.
- Liaison between yield management, guests, department managers, accounts receivable/payable, tax and legal to ensure the execution of group requirements adhere to company policies in a timely manner.
- Efficient Time management self-awareness & discipline.
- Self-initiative to prioritize many tasks, resort needs, and guest needs accurately – with flexibility to quickly reprioritize, while completing impending deadlines and/or established timeframes.
- Strong work ethic with a drive for success, a loyal team player that understands necessity of an organizational chart
- Participate in occasional sales calls &/or property tours.
- Strong organizational skills in a fast-paced environment, while working independently on various projects & forms of communication that occur, weekly, monthly, quarterly while creating successful results, with minimal supervision.
- Willingness to assist with additional tasks, departments, etc on occasion, when requested.
To fulfill this role optimally, you will have the following minimum qualifications and experience:
- Hotel operations experience ( 2 year minimum)
- Proficient in Excel, Outlook. Word. PowerPoint, Math.
- Fast & Accurate Reading.
- Salesforce/ Delphi FDC and familiarization with Clarity is a plus.
