The Club Contract Support Specialist is responsible for processing administrative tasks related to change of ownership and final change of ownership transactions. They are also responsible for processing membership updates, allotments, upgrades and conversions to determine if information should be forwarded to associated departments for further action.
Essential Job Functions:

Manage calls from owners and provide good customer service to owners looking for their contract/file/case status and progress updates.

Support client request, inquiries or questions relates to title transfer and change of ownership

Receive inbound calls from external customers such as Attorney Offices & Title Companies and provide accurate information relating to change of ownership

Coordinate status updates for owners requesting copies of their recording/sales documents, title services (name change, gift transfer sales, and closings costs).

Reviews and manages shared department inboxes for transfer of ownerships and any other title related functions.

Verifies to ensure customer information and documentation related to title transfer is correct and update system information as needed.

Inputs and updates spreadsheets and other programs to track all activity.

Responsible for collecting and processing fees and payments related to change of ownership

Conduct specialized department shadowing and training for new team members after they have completed general Club training
-
Creates Excel templates as needed to complete membership audits, analysis, and other processes.

Complete all estoppel requests for our mandatory and voluntary properties including Southwest Florida and Bay Club resorts.

Update membership accounts of Name Changes incurred by marriage, divorce, death, or resale.

Prepare and send Market Value letters as requests come through while using the approved letter template and inputting the correct information according to the member’s account.

Processes all membership allotments.

Processes conversions, merges, membership activations, upgrades, and cancellations of all memberships

Runs various reports for secondary leads, Sampler conversions, end of month, conversions, upgrades, re-sales, and CSMs.

Review/Submit Maintenance Fee transfers due to upgrades with exception report.

Process points adjustments
-
Setup associate member and legacy membership accounts
-
Process Club assignment agreements
-
Process expiring Sampler and or extensions.

Assists various departments with Club membership issues or discrepancies.

Maintains complex Excel spreadsheets.

Interacts with various internal departments regarding Club membership issues or discrepancies via email and/or telephone.

Consistently practices and maintains the highest standards of professionalism when interacting with fellow team members, management, owners, and members.

Contract preparation skills

Familiarity with mortgage loan documentation, credit review and deeding

Timeshare/Vacation Ownership experience

Experience with Chorus and Voice systems

Advanced experience with Microsoft Excel
