Duties and Responsibilities

  • Interacts with members, guests and employees in a friendly and cooperative manner in line with HGV Inspired Hospitality.
  • Is a highly organized and process-driven individual with the ability to multi-task.
  • Communicates effectively with others, analyzes and resolves problems, maintains effective working relationships both internally and externally.
  • Always maintains a strict level of confidentiality.
  • Processes EFT and cheque payments according to supplier terms.
  • Reconciles vendor statements to ensure accuracy and completeness including corporate credit card payments.
  • Full cycle Accounts Payable processing.
  • Receives invoices for approval and G/L allocation.
  • Coordinates vendor set up for new accounts and processes necessary documents. 
  • Resolves discrepancies in order to have invoices submitted in a timely manner in accordance with monthly cut-off dates.
  • Responds to all inquiries (telephone, email, etc), delivers information requested and follows up where needed.
  • Possesses a strong knowledge of accounting practices, attention to detail and strong work ethics.
  • Has computer knowledge and experience using Adobe and other related financial spreadsheets and files.
  • Prioritizes and processes invoices and follows up in communicating with suppliers and partners as needed whether by phone or email.
  • Upholds Hiltons Grand Vacation Brand Standardsinvolved with inventory and related tasks to Inspired Hospitality.
  • Assists Operations with in-house notifications, emergency information and other requested communications.
  • Maintains compliance records for various needs such as training.
  • Creates presentation decks or other media tools as requested by Resort Leadership.
  • Embodies the Hilton Grand Vacations Values of Hospitality, Integrity, Leadership, Teamwork, Ownership, Now.
  • Completes all the required Company training/compliance courses assigned.
  • Adheres to Company standards and maintains compliance with all policies and procedures
  • Performs other related duties as assigned.

Brand Standards:

  • Liaises with the following departments: Rooms Quality, Housekeeping & Maintenance and Member Reception.
  • Oversees the implementation of branded linens and terry cloth along with receiving shipments and distributing inventory in coordination with Housekeeping.
  • Oversees shipments pertaining to and coordinating with the Room Quality Manager:
  • Is responsible for housewares inventory – dishware, cutlery, utensils.
  • Oversees ordering of paper products/supplies for housekeeping and confirms deliveries.
  • Is responsible for Cooks Closet inventory of extra items guests can borrow during their stay.
  • Is responsible for inventory of linen and terry, along with amenity and paper products, housewares with weekly/monthly counts.
  • Has a cooperative and communicative attitude with managers and employees. 
  • Is responsible for overseeing the HGV Clean the World Program.
  • Takes direction from and reports to the General Manager.
  • Manages multiple tasks at once and adheres to Company policies, guidelines and Hilton brand standards.
  • Resolves problematic situations efficiently. 
  • Has excellent communication, time management and organizational skills.
  • Ability to work independently and on a team.

Compensation:  Salary range: $20 – $23 per hour.
